Receptionist

We are seeking a friendly, organized, and independent Receptionist to be the first point of contact for our clients. This role is more than just answering phones, it’s about creating a warm and professional experience while keeping the office running smoothly. You’ll play a key role in our daily operations, assisting with administrative tasks and supporting our legal team. Responsibilities
This is a full-time, in-office position requiring 40 hours per week. Your day will include a variety of tasks, such as:

Client Hosting: Open the office each morning, prepare conference rooms, greet clients warmly, and offer refreshments.

Phone & Communication Management: Answer and direct calls, and professionally assist clients and third parties with their legal needs and firm communications.

Scheduling & Calendar Management: Coordinate non-client meetings and schedules for all staff members to ensure smooth operations.

Mail & Package Handling: Manage incoming and outgoing mail and client record management.

Inventory & Office Supplies: Assist Office Manager with organizing and maintaining a healthy inventory of office supplies.

File Organization: Maintain both electronic and physical client files in an orderly and accessible manner utilizing clearly defined naming systems.

  • Has already mastered the art of running the front desk show!
  • Exudes a positive attitude and a commitment to helping others succeed.
  • Possesses strong organizational skills and attention to detail.
  • Is fluent in Microsoft 365 (Teams, Outlook, Excel, Word) and Adobe Acrobat.)
  • Demonstrates excellent verbal and written communication skills, paired with a warm and professional demeanor.
  • Takes pride in being a go-getter with a self-starter mentality who thrives on tackling tasks, staying ahead of the game, and has the confidence to suggest process improvements.
  • Feels empowered when they can utilize their problem-solving skills to make every workday smoother for clients and the team.
Bonus Experience:
Prior law firm experience is a plus, but not required.
